Why does Votorantim Cimentos have an Ethics Line?
We believe that an effective reporting system enhances our efforts to promote a culture of integrity and ethical decision-making.
Thus, our Ethics Line was implemented more than 10 years ago to enable anyone, whether or not they work at the Company, to freely, securely, and confidentially express their genuine doubts and concerns about potential violations of the Votorantim Cimentos Code of Conduct observed in our business environment or relationships.
Who can make a report?
Anyone who observes irregular conduct occurring in the Company's business environment: VC employees, clients, third parties, suppliers, business partners, investors, and society in general.
This is a channel open to all, which must be used responsibly and in good faith.
Is it possible to register an anonymous report?
Yes. You can register a report anonymously or identified.
The contact is made through an independent company, which is completely impartial and has specialized support to obtain the maximum information about the case without compromising your anonymity. Under no circumstances will your phone number or computer IP be shared.
But don't worry: if you choose to identify yourself, your identity will be treated confidentially during the process.
I don't want to identify myself in my report. Can I trust that I won't really be identified by you in any way?
If you opted for anonymity, there is no possibility of identification.
The Ethics Line processes and system were structured to protect your anonymity. There is no tracking of phone numbers, computer IPs, or anything similar in our process.
However, if you wish to remain truly anonymous, you - as the whistleblower - must ensure that the content of your report does not accidentally reveal your identity. It is also important to note that when making a report, you should not comment on it with anyone, thereby minimizing the risk of your colleagues sharing the information you confided in them with others. Nor should you share your report protocol or leave it in a location accessible to third parties.
These are some simple tips we share with you to ensure extra care in preserving your identity.
Can I report an occurrence anonymously and still receive a response?
Yes. Upon completing your registration, you will receive an automatic protocol identifying the registered occurrence, regardless of whether you identified yourself in your contact or not.
You can return to the channel later, by phone or through the Ethics Line website, inform the protocol number you wish to consult, and then you can track the status of your report.
What types of cases can I report through the channel?
Whenever you experience a situation that violates our Code of Conduct and/or the Laws observed in the Company's relationships and business dealings, as well as for clarifying doubts about the guidelines established in this document.
Whenever you identify an irregularity, if you are a Votorantim Cimentos employee, you can share it with your manager, your manager's manager, the People (HR) area, Compliance, or Legal, depending on the topic.
But, if you are not our employee or if you are our employee and do not feel comfortable contacting these teams or people in these situations, remember that the Ethics Line is a safe and confidential alternative that you can always rely on.
See some examples of improper situations that you should report: moral harassment, sexual harassment or molestation, discrimination of any nature, fraud, corruption, among others.
Additionally, you can also use the Ethics Line to ask questions about our Code of Conduct.
ATTENTION: Operational or technical questions and complaints, product purchases, sponsorship requests, requests for company visits, resume submissions, supplier registration requests, complaints about lack of payment, for example, should be addressed to other more appropriate channels or responsible areas within the Company. Consult the Votorantim Cimentos website or Workplace (if you are a VC employee) to find out about other communication channels available for contacts of other natures. If in doubt, contact “Contact Us,” “Sales Channel,” “Supplier Channel,” or “Investor Channel”.
What information should I include in my report to ensure the situation is adequately understood and allows for a proper investigation?
When you register your report, it is important to include as much information as possible. Thus, remember to describe the occurrence with the maximum possible detail. Try to stick to reporting precise facts, informing: What happened? When did it happen? Where? For what reasons? What are the names of the people involved in this situation? What is the role of these people?
If there are witnesses, also inform their full names, position, and, if you know, phone number and/or contact email.
The more data about the fact, the more effective the situation's investigation will be and, consequently, better actions can be taken and better results can be achieved. Reports without feedback on this information, or with vague, superficial content, as well as disrespectful reports, will not be investigated.
The Ethics Line must be used in good faith, so use it correctly and consciously.
I noticed some unethical conduct, but nothing that affects me or my colleagues. So, since it doesn't concern me, why should I report it?
For us at Votorantim Cimentos, there is only one way to do things: the right way.
Everyone has the right to work in a positive environment, and with that right comes the responsibility to act ethically, informing the appropriate people and bodies when someone is not acting properly, fairly, and with integrity, in line with the Company's guidelines and values.
By working together, we will build and maintain a healthy, transparent, ethical, productive, and better environment for everyone. Improper conduct can put the survival of an entire company at risk.
Perhaps you are aware of something that may be more critical and worrying than you judge. Based on your report, the area or competent bodies in the company can direct their efforts to investigate previously unknown irregularities, thus being able to act as quickly as possible to minimize the potential negative impact they could have for the company, its employees, suppliers, commercial partners, the environment, society, among others.
Therefore, if you are aware of any improper, unethical, or illegal conduct that has happened or is happening in the relationships and business environment of Votorantim Cimentos, consider that reporting it is a duty to yourself, your colleagues, and all other related parties of the Company, who may be impacted if this situation is not corrected in time and evolves into something even more serious.
How many times should I report the same situation?
Making multiple registrations about the same occurrence will not give the situation more credibility. It will only bring higher processing costs, time loss in analysis, impact on the analysis of other critical issues, and a longer time for the process conclusion.
Therefore, if you are going to make a report about a real or potential situation, do it only once.
If after submitting your report you remember other data or become aware of new information about the same situation that may be important for supplementing the ongoing analyses, it's simple: just access your report again (with your protocol number) and enter the new information desired in the case already under analysis.
Do I need to have evidence?
It is not necessary. However, it is recommended that you indicate or provide evidence that contributes to the investigation of the issue, if possible. You can erase or crop any data that might identify you if you wish to remain anonymous.
The Contato Seguro system allows you to attach any type of file, photo, video, audio, etc. Even if you make the report by phone, the attendant will explain how to attach your evidence.
All these documents will be treated confidentially, preserving the identity of the person who sent them.
Who answers the Ethics Line 0800 number and registers the reports?
Contato Seguro has its own team of qualified professionals for receiving your reports.
These people have no relation to Votorantim Cimentos and are completely impartial regarding the content that will be reported.
What precautions should I take after making a report?
After registering your report on the Ethics Line, it is important to keep what was reported confidential and not comment on or share it with third parties, in order to guarantee the confidentiality of what was reported.
In addition, you should consult this system periodically to check if there are additional questions from the Ombudsman team.
How do I track my report?
When making a report by phone, through this website, or through the Contato Seguro app, you will receive a protocol number that can be used to track the progress of your report.
To do this, you must access this website, enter the protocol number in the section “Track your report/inquiry” and click the arrow next to it to continue.
We recommend that you write it down and track it periodically to verify the progress of your report.
Eventually, the Votorantim Cimentos Ombudsman team may ask you for more information through messages that can only be accessed by you through the website or by phone using this protocol (without it, you will not be able to access this tool).
Stay tuned and access this website regularly. Your contribution will be of extreme importance to the process.
What do I do if I suffer retaliation?
Votorantim Cimentos repudiates any form of retaliation against anyone who registers a report with a genuine concern or who contributes to the investigations.
If this occurs, you should make a report on the Ethics Line informing details of the situation so that the responsible team can carry out the due investigation and act promptly.
